ERP - Material Requisitions
3.0 Select the Material Requisitions button at the top of the screen. This will open the standard Material Requisition Form.

3.1 Make sure the Contract Number in the top right-hand side is the site you are placing the requisition for.

Note: You can change the Contract Number by typing in the correct one and clicking Enter.
3.2 Once the Contract Order is selected, a list of previous orders will appear.

Note: You can scroll across the fields using the slider bar here.
3.3 Each line will have a status displayed in the Action Message field.

Note: If the requisition has been completed, you will also have a Purchase Order number in the line.
3.4 To create a new material requisition, click anywhere in a blank new line. The first two fields will auto fill for you.

3.5 Type in the Contract Number in the relevant field if it hasn’t filled automatically.

3.6 Enter the Contract Cost Head for what you are ordering.

Note: If you click ‘Select from full list’ you be able to search through the cost codes to find the one which is most relevant.

3.7 The description field is automatically filled with the description of the cost code that you selected. If required, you can type over this with the relevant description of your actual order.
E.g., Instead of COS – Materials you can type in Topsoil.

3.8 Enter a Quantity Figure and Unit of Measure Code.

Note: The Unit of Measure Code is a drop-down list, and like the cost codes, can be searched through or selected. If you can’t find a relevant measure, contact Buying@gmicon.co.uk to get it added.

3.9 Enter a due date for when the material is needed by. This is a calendar selection field.

3.10 If you have received a quote already for your order, you can enter a supplier in the Vendor No. field. You can use the search function by selecting ‘Search from full list’

Note: If you don’t have a quote or a chosen supplier, please leave this blank and the Buying Department will complete this section when they go to market for the requisition.
3.11 If you have a quote, make sure you upload a copy into the documents field. By dragging and dropping the file here.

Note: If you are unable to see the above document section, make sure you have the line you are entering your requisition into selected and the small ‘I’ icon is selected in the top right.
You can also use the documents section to attach a schedule for delivery for call off orders if needed. These fields are not required if you don’t have a quote already.
3.12 In the Order Delivery field, select where you want the order delivered to.

3.13 In the Ship to Contact field, type in the details of the relevant person on site who will receive the order.

3.14 In the Action Message field, select ‘New’ for a new requisition line.

Note: You can also use this to change the order if needed by selecting on of the other options (Change Quantity, Reschedule, Reschedule & Change Quantity, or Cancel.)
3.15 Once all required details have been added to the line, select the Ready to Order checkbox. This will send a notification to the Buying department to review and action the order.

Note:
- Your order has now been completed and submitted. You can now move onto the next line to create an additional order.
- To make repeat orders easier, you can use the F8 button to copy the information from the line above down into your new requisition line.
- You can also use the TAB button to move right along the fields in the requisition line.
